Meetings

Meetings captures your calls without putting a bot in them. It records your microphone and your machine's system audio at the same time, transcribes the conversation live, and produces an AI summary with action items when the call ends. Because nothing joins the call as a participant, it works with any calling app, on any platform, and nobody on the call sees a recorder. Your team uses it to keep a searchable record of client calls, internal syncs, and anything else worth remembering, without depending on someone taking notes.

Where to find it

Open Meetings from the dock. Start a recording from the control in the top menu bar, or from inside the Meetings app itself. A meeting can also be opened from a client's Coordination group, where associated and matched meetings for that client are listed.

Record a meeting

  1. Start the recorder from the control in the top menu bar, or from the Meetings app. A floating recorder widget appears and follows you around the product as you switch tabs or apps.
  2. Take the call as normal, in whatever app you're using. The transcript builds live in the widget as the call happens.
  3. Stop the recorder when the call ends.

When the recording finishes, Bitment generates a summary and a list of action items from the transcript. The recording, transcript, and summary all live together on the meeting's page.

If you want a specific microphone for capture, such as a headset or a Bluetooth device, set your preferred input under Settings › Voice-to-Text. The recorder uses the same device you choose there.

Associate a meeting with a client

A meeting can be linked to one or more clients from its page. This is association, not sharing: it files the meeting under those clients so it appears in their view, without granting anyone new access to it.

Imported Fireflies meetings mostly associate themselves:

  1. Open the meeting's page. Under Matched automatically from attendees, you'll see one chip per client the meeting's attendee emails resolved to. Hover a chip to see which person matched. These need no manual step.
  2. An attendee email your CRM doesn't recognize shows as a dashed + chip. Click it to save that email onto an existing client or contact, add the person as a new contact, create a new client, or link just this meeting to a client.
  3. Use Or add one manually to add or override a client association by hand. This is also the only option for native Bitment captures, since their participants are speaker names rather than emails and there's nothing to match automatically.

Rename, share, or delete a meeting

Open the meeting's page to rename it, share it with colleagues, or delete it. The AI can do any of these on request; changes it makes are staged for your approval rather than applied immediately.

Import meetings from Fireflies

If your firm already runs Fireflies.ai, connect it under Settings › Connections › Fireflies.

  1. Paste your Fireflies API key. Bitment validates it and backfills your existing Fireflies meetings into the Fireflies tab.
  2. Bitment gives you a webhook URL and secret to paste back into Fireflies, so new meetings sync automatically going forward.

One teammate connecting Fireflies can cover the whole firm. When you connect it, choose whether the connection belongs to you personally or to one or more of your firms:

Find a client's Fireflies meetings

Open a client in Clients and pick Fireflies under its Coordination group. That page lists every meeting involving the client: meetings you explicitly associated, plus imported meetings where the client's own email address or any of its contacts' email addresses appears among the participants or as the organizer. Keep contact emails accurate on the client's record, since that's what the automatic matching relies on. A meeting's own page shows this matching at work, and offers to add unrecognized attendees to the CRM directly from there.

The built-in video conference

Bitment also has its own video conference rooms: a shared, collaborative notes document that everyone on the call edits together in real time, plus optional recording that lands in Recordings with a transcript and summary like any other meeting.

Joining a live Bitment-hosted conference is coming soon. Today, choosing a video-conferencing option for a new calendar event or booking link offers only None, Google Meet, or Microsoft Teams; the Bitment conference isn't yet a choice in that picker, so a live in-app call isn't something you can start yet.

Ask the AI about a meeting

The AI can read your meetings' transcripts and summaries. Ask it things like "what did we commit to on the Northwind call" or "pull the action items from yesterday's meetings into tasks." Agents can also be triggered automatically when a meeting's transcript becomes ready, which is a common way to get follow-up drafts written without asking.
