Payroll

Payroll lets your firm run payroll for a client's workers, generate paystubs and a payroll report for whoever executes the actual payment, and keep a history of every run. Bitment prepares the numbers and the documents; it doesn't move money itself, so the treasury step (paying workers and remitting withholdings) still happens outside Bitment, using the report it produces.

Where to find it

Payroll lives behind the Financials tile in the dock, alongside Bookkeeping, Taxes, and Wealth. Click Financials and choose Payroll from the list that appears; the same switcher lets you jump to Bookkeeping, Taxes, or Wealth. Inside a specific client, open Payroll from that client's sub-navigation under Apps › Payroll, scoped to that client's own configurations.

Key concepts

Set up a configuration

  1. Open Payroll and create a configuration for the client.
  2. Choose its pay frequency (weekly, biweekly, semimonthly, monthly, quarterly, a custom interval, or manual, where you start a run on demand instead of on a schedule), company and EIN information, and funding account.

The configurations list shows each one with its next check date, tinted by urgency so what's due soon stands out.

Add workers

Open a configuration and go to its Workers tab. Adding a worker opens a form that adapts to whether they're W-2 or 1099: identity and contact details, compensation (salary or hourly), tax withholding and filing status for W-2 workers, address, benefits enrollment, and pay-delivery details. Each worker has a tabbed profile covering their details, compensation and tax setup, pay history and expenses, uploaded and generated files, and an audit log of every change made to their pay rate, withholdings, status, address, or bank account.

Run payroll

  1. From a configuration, click Run Payroll (or Pay bonus from a worker's page for a one-off bonus run) to create a draft run and open its editor.
  2. Review the run details (type, period, check date) and each worker's stub: adjust earnings lines, add bonus, commission, reimbursement, or adjustment lines, or roll an approved unreimbursed expense onto a stub. Deductions and employer taxes recompute automatically as earnings change.
  3. Submit for Review, then walk the run through Approve and Issue report. Issuing the report generates paystub PDFs and a payroll report PDF and advances the configuration's next check date; payments have not been made yet at this point.
  4. Once the outside payment step is done, mark the run Completed.

Only a draft run can be edited; every later stage is locked. You can discard a draft run entirely instead of submitting it.

Paystubs and reports

From a run's detail page, open the Report, Pay Stubs, and Attachments tabs. The payroll report is a letterhead document with employer and run details, a per-worker payment breakdown, and a remittance summary grouping amounts by destination, worker accounts, federal and state tax authorities, retirement plan administrators, insurance carriers, and garnishments. Each paystub is its own exportable document. The Attachments tab holds the generated report alongside any bank receipts or statements you upload to back up the run.

Track worker expenses

Workers can file expenses for reimbursement. Approve or reject a filed expense, then roll an approved one onto a draft run's pay stub as a reimbursement line; unrolling it (by removing the line from the stub) reverses that and returns the expense to its approved state.
